Privacy Policy
This Privacy Policy explains how Marmot Systems collects, uses, shares, and protects information through our website, backend services, admin frontend, and Marmot Mobile Android app.
Information We Collect
Account and contact information, such as names, business email addresses, phone numbers, company names, login credentials, user roles, and billing or subscription details.
Business and operational information entered into Marmot Systems, including customer records, invoices, payments, products, pricing, inventory, warehouses, routes, order history, customer signatures, and related sales or delivery records.
Device and app information, such as app version, device model, operating system, device identifiers, sync status, diagnostics, crash reports, and error logs.
Location data from the Android mobile app, as described below.
Location Data
Marmot Mobile may access precise or approximate device location when a user grants Android location permission.
When route tracking is enabled by the business account and the driver grants the required permission, Marmot Mobile may collect location in the foreground and background during an active route. This can include latitude, longitude, accuracy, timestamps, route session identifiers, user identifiers, and company identifiers.
Location data is used to record route history, support delivery and sales operations, show route activity to authorized company users, troubleshoot route tracking, and sync route information between the mobile app and Marmot Systems.
Android may also require location permission for Bluetooth printer discovery and connection. Marmot uses that permission for printer setup and connection; it is not used for route tracking unless route tracking is enabled and the user grants the required route tracking permission.
Marmot Systems does not sell location data and does not use location data for third-party advertising.
How We Use Information
We use information to provide, maintain, secure, and improve Marmot Systems; authenticate users; sync offline mobile data with the backend; generate invoices, payments, inventory records, and reports; provide customer support; troubleshoot errors; process subscriptions; and comply with legal or security obligations.
How Information Is Shared
Marmot Systems is business software. Information entered or collected in the app may be visible to authorized users of the same company account, such as owners, administrators, managers, dispatchers, salespeople, and drivers, according to their permissions.
We may share information with service providers that help us operate Marmot Systems, such as hosting, database, file storage, email, payment processing, diagnostics, and support providers. These providers may process information only as needed to provide their services to us.
If a company enables an integration, such as an accounting or payment integration, we may share the information needed to provide that integration at the company's direction.
We may disclose information when required by law, to protect rights and safety, to prevent fraud or abuse, or in connection with a business transfer such as a merger, acquisition, or sale of assets.
We do not sell personal information or location data, and we do not share personal information or location data for third-party advertising.
Data Retention
We keep information for as long as needed to provide Marmot Systems, support active company accounts, meet legal or accounting obligations, resolve disputes, enforce agreements, and maintain backups. A company account owner or administrator may request deletion or export of account data by contacting us.
Your Choices
Users can control Android location permissions in device settings. If location permission is disabled, route tracking and some printer discovery features may not work.
Business account owners and administrators can manage users, roles, and company data in Marmot Systems. If your employer or another company provided your Marmot account, that company may control the business data in the account.
You may contact us to request access, correction, deletion, or export of personal information, subject to account ownership, legal, security, and operational requirements.
Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information. No system is perfectly secure, so we cannot guarantee absolute security.
Children
Marmot Systems is intended for business use and is not directed to children under 13. We do not knowingly collect personal information from children under 13.
Changes
We may update this Privacy Policy from time to time. When we do, we will update the date at the top of this page.
